In April 2005, the Chancellor's office distributed a legal advisory clarifying the requirements for
claiming apportionment for supervised tutoring. One important component is that "students cannot voluntarily enroll in tutoring."
In addition, district should document how the student was referred, why, and by whom. Therefore, a new tutorial "Referral Code" has been
established to allow all faculty to "refer" a student to tutoring. The code is "subject" specific for the classroom faculty and not subject specific for
the counseling and tutorial center faculty. The student will be required to use this code (similar to an Add Code) to enroll in tutoring classes
via the Attendance Tracking system (the district system used to enroll and track student attendance in tutoring classes).
Details of the Referral Code process are provided below.

Classroom Faculty Instructions: |

Step 1: |
Locate the name of the student requesting a tutoring referral on the class list. This information is preprinted on the tutorial Referral
Code List with enrollment information for each class.

Step 2: |
Record the "Reason Code" for the referral to tutoring in the "reason Code" column. Note: the list of reasons can be found at
the bottom of the form.

Step 3: |
Peel off the Referral Code and provide it to the student with instructions that the "code" must be entered in to the
Attendance Tracking system in the tutoring Center. Note that the student will only need this code the first time they log in
to Attendance Tracking for that subject (i.e. English).

End Of Term |
At the end of the semester/session, sign and date the form and return the form to the Admissions Office.
Important: this list must be on file for audit purposes.

In the event that a Tutorial Referral Code List is misplaced, the counselor/instructor should contact the
college Admissions Office for another list.
If a student comes to you indicating that they have misplaced their Referral Code, you may give
the student a new sticker code.
